The 2012 IMC Proceedings Procedure

Everybody who registered a lecture or a poster was invited to deliver a paper before or at the IMC to assure a timely production of the Proceedings. 23 papers have been received by end of September, the other papers are expected to arrive in the next two months. The editing procedure goes as follows:

  • When a paper is received a quick check is made and the author receives an acknowledgement of receipt;
  • Pre-editing is done by Paul Roggemans (first reading, if necessary rewriting/correcting English language, preparing the LaTex version and adapting figures for black and white printing);
  • When required, a referee is asked to verify the science (math's etc);
  • Final editing is done by Marc Gyssens (second reading, adjusting English language, make the page lay-out camera ready);
  • First proofreading by Paul Roggemans, corrections made by Marc Gyssens;
  • Second proofreading by an independent expert, corrections made by Marc Gyssens;
  • The final corrected version is sent the author to request her/his approval, final corrections might be made by Marc Gyssens;
  • The final PDF will be put online on this website;
  • When all papers are ready the 2012 Proceedings volume will be compiled by Marc Gyssens, suitable IMC photo's selected to be inserted under the articles and all cover pages and other Proceedings documents be prepared by Paul Roggemans.
  • The final camera ready copy will be distributed for a final quick check by 5 proofreaders.

In optimal circumstances we manage to do 3 papers per week, for the 60 papers of this IMC we need at least 20 weeks of time + some time to compile and check the final camera ready copy. In optimal circumstances the procedure will be completed in 6 months. Delays in the past were mainly due to late delivery of papers.

IMC 2012 lectures, posters and proceedings

 
Presenting a good lecture or poster requires to be well prepared. The best way to prepare your IMC presentation is in first order to summarize your information in the form of a written paper. Based on this paper a power point presentation can be derived for a lecture in function of the attributed lecture time. Always leave a margin of 2-3 minutes for questions or comments from the audiance and pay attention to the time duration of your lecture. Don't try to fit 20 minutes in a talk of 15 minutes. Having prepared an article as paper contribution to the IMC Proceedings, you'll be better prepared for your lecture or poster and you help the IMC Proceedings getting out in time. The IMC Proceedings paper must be delivered at the very latest at the IMC itself, but preferably before the IMC. IMC 2012 speakers and poster contributors are welcome to submit a written article/paper for the proceedings. Please send your paper to Paul Roggemans.
 
If you know LaTeX, please use it, with the template below. Best for us is LaTeX with figures in (encapsulated) PostScript and references using BibTeX. But we are happy to accept papers in any reasonable format (Word; plain ASCII text; etc.) and figures in any common image format. For the printed proceedings, you should ensure your figures look ok in black and white / greyscale, although you can submit colour figures for an electronic version of your paper.
Submissions should be proper articles/papers, i.e. should contain some text, not just an abstract and a couple of figures.
A lot of the advice about writing for WGN also applies to IMC proceedings.
We have prepared an example paper for you to look at:
  • pdf file (for all authors)
  • template (for LaTeX users)
  • bib file (for LaTeX/BibTeX users)
  • zip file (containing the above files + LaTeX style files etc. needed to run LaTeX on this example template)

If you don't know LaTex use Word or any WYSIWYG editor. Just don't use exotic file compression programs. Your IMC Proceedings paper should contain the following elements:

  • Title;
  • Name(s) of the author(s);
  • The postal address of the author(s), add multiple lines for different addresses;
  • The e-mail address of the author(s);
  • An abstract that summarizes the paper. If your presentation concerns research for which publication is copyrighted or the rights are reserved by publication in another journal, please still provide a more extensive abstract with reference to the official publication of your topic;
  • The main body of your paper:
    • Use  subtitles starting with "Introduction";
    • Include figures and or photographs of sufficient high resolution and suitable for greyscale reproduction.  If you use pictures with a screen resolution, be aware printers require about 4x better resolution to reproduce good quality. Print your figures on a black and white printer as test. Document each figure with a caption;
    • End the body of your paper with a subtitle "Conclussions" and or "Acknowledgement";
    • Pay attention to detailed references in the bibliography at the end of your paper. References must include:
      • Names of authors;
      • Year of publication;
      • Title of the referenced paper;
      • The name of the Journal or the complete reference with editors and publishers details for books or other Proceedings;
      • The volume number of the journal;
      • The pages "from - to" of the referenced article.

Never delay your IMC paper as it will be more timeconsuming for everyone involved if you postpone your paper and you cause delay in the production of the IMC proceedings.
